Switch from Pipedrive to SalesCrew

Export people, organizations and deals from Pipedrive as CSV, load them into your own database, and let IMAP bring 90 days of email back.

An admin approves every new account by hand. Nothing is created until then. We reply by email; no newsletter, no sequence.

Pipeline with weighted forecast and stage breakdown

A Pipedrive to SalesCrew move runs on Pipedrive's own Export data screen: people, organizations, deals, notes and activities come across as CSV files, email history returns through each mailbox over IMAP, and a standard import completes within 7 business days with migration help on every SalesCrew tier.

What to know before you export

  • Pipedrive exports deals, leads, organizations, people, products, activities, projects, notes and files as XLSX or CSV (checked on support.pipedrive.com, September 2026).
  • Pipedrive keeps each exported file for 28 days, so you have four weeks to download everything.
  • Your email history comes from the mailbox, not the export: SalesCrew's first IMAP sync pulls the last 90 days of threads.
  • SalesCrew matches imported people on email address and fills gaps in an existing contact without overwriting it.

Your email history returns through the mailbox

Email is the part Pipedrive users worry about most, and it's the easiest part to bring across. You connect each rep's mailbox to SalesCrew over IMAP and SMTP. On the first sync, SalesCrew backfills the last 90 days of threads from the INBOX folder and threads each one onto the contact with the matching address. You can widen that window per mailbox.

Once the mailbox is connected, a reply that arrives next week joins the same conversation. Your reps send from the same address, so prospects see nothing change. Cadences then run on the mailbox pool, with per-mailbox and per-domain caps, and suppression is checked again at send.

How a Pipedrive migration runs

Five steps. You run the exports; we'll load them with you.

  1. 1

    Export each item from Pipedrive

Go to Tools and apps, then Export data. Export people, organizations, deals, activities and notes as CSV, choosing plain text for notes. Download each file within 28 days.

  2. 2

    Match your Pipedrive pipeline

Create a SalesCrew pipeline with the same stage names as your Pipedrive pipeline, so every deal lands in the stage your team expects.

  3. 3

Import people into the Data Bank

Upload the people file, map its columns once and tag the batch. Rows match on email, and each import leaves an audit row you can trace later.

  4. 4

Create organizations, deals, notes and tasks

The other files load through company_create, deal_create, note_add and task_create, so each record lands with the same effect as one created in the app.

  5. 5

    Connect mailboxes and switch over

Each rep connects Gmail, Outlook or cPanel mail. The 90-day backfill runs on the first sync, and your team works from SalesCrew from that day on.

Export from an admin account

Pipedrive only exports what the signed-in user can see under their visibility group (checked on support.pipedrive.com, September 2026). Run the exports as a global admin so no deal is missed. After the move, a full export of your SalesCrew database is available to you any time, as a Postgres dump plus CSV.

Questions about leaving Pipedrive

How do I migrate from Pipedrive without losing my email history?
Connect the mailbox itself to SalesCrew. Pipedrive's export list covers deals, leads, organizations, people, products, activities, projects, notes and files (checked on support.pipedrive.com, September 2026). Your mail lives in Gmail, Outlook or cPanel, and SalesCrew's first IMAP sync backfills the last 90 days of INBOX threads onto the matching contacts.
Where is the export button in Pipedrive?
Open the account menu at the top right and go to Tools and apps, then Export data. Global admins and users with export permission can run it, and each user only exports the records their visibility settings show them (checked on support.pipedrive.com, September 2026).
How long does a Pipedrive to SalesCrew move take?
A standard import completes within 7 business days once the Pipedrive files are in hand. Mailboxes connect on day one, so your team keeps replying from the same threads while records load.
What happens to my Pipedrive activities?
Open activities become SalesCrew tasks, created with task_create on the matching contact or deal. Keep the due date and owner columns in the export so each task lands with the right rep on the right day.
Is migration help included on the SalesCrew plan?
Yes. Migration help is included on every SalesCrew tier, from $299 a month with unlimited seats, so the whole Pipedrive team moves at once.
