When none of these is the answer

An agency sending one or two proposals a month to warm, already-committed clients does not need dedicated proposal software; a PDF and a follow-up email covers that volume without added subscription cost. This category earns its place once proposal volume or deal size is high enough that tracking opens and closing with e-signature meaningfully speeds up the sales cycle.

Is proposal software worth it over a PDF and email?
The main gain is tracking: knowing when a prospect opened a proposal and how long they spent on each section, plus built-in e-signature so a deal can close without a separate tool. A small agency sending a handful of proposals a month may not need it; the value scales with volume.
Does proposal software replace a CRM?
No. It handles document creation, tracking and signing for one specific document type. The CRM should still hold the deal record, the relationship history and what happens after the proposal is signed.
Is e-signature always included?
Not always, and it is worth checking directly on the vendor's pricing page rather than assuming; some tools bundle it into every plan and others gate it to a higher tier or a separate add-on.
