Best CRM for HVAC companies

An HVAC company's software question is really two questions: what runs dispatch and invoicing, and what tracks the sales pipeline behind new installs and maintenance plans. Compared on both.

An admin approves every new account by hand. Nothing is created until then. We reply by email; no newsletter, no sequence.

Pipeline with weighted forecast and stage breakdown

ServiceTitan wins for a multi-truck HVAC operation that wants dispatch, pricebook, payroll and marketing attribution in one system, and is willing to sit through a sales call to get a price. Jobber wins instead for a smaller shop that wants published pricing and a real sales pipeline without the enterprise setup.

The short answer

  • Jobber starts at $29/month for one user (Core, billed annually), with Pipeline and lead management added on its Grow tier at $149/month for up to 5 users, per getjobber.com/pricing.
  • Housecall Pro starts at $59/month for one user (Basic, billed annually), with a Pipeline Dashboard on every tier and an optional Pipeline add-on for automated lead follow-up, per housecallpro.com/pricing.
  • ServiceTitan and FieldEdge both require a sales call for pricing; ServiceTitan covers 15+ trades including HVAC with dispatch, call booking and marketing attribution, while FieldEdge scopes its licenses at 2 (Select), 4 (Premier) or 6 (Elite) mobile users, per servicetitan.com/pricing and fieldedge.com/pricing.

How each one fits an HVAC business

ServiceTitan

Built for multi-truck HVAC, plumbing and electrical operations that need dispatch, a pricebook, payroll and a named CRM feature (pipeline management, deal tracking, task logging) under one roof, serving 15+ trades. The tradeoff is that pricing is entirely quote-based across its Starter, Essentials and The Works tiers, so there's no number to compare until you talk to sales. Not for: a 1-2 truck shop that just wants to see a monthly price and get started.

Housecall Pro

Published pricing starting at $59/month for one user, with online booking, scheduling, invoicing and a Pipeline Dashboard on every tier. The MAX tier at $299/month adds a sales proposal tool and API access. Not for: a company that needs a dedicated outbound engine to reach new prospects, since Housecall Pro's pipeline tools are aimed at converting inbound leads, not running cold sequences.

Jobber

The lowest published starting price of the group at $29/month, with a real Pipeline and lead management feature added at the Grow tier ($149/month, up to 5 users). Client manager (a basic CRM) is included even on the entry Core plan. Not for: a large operation that needs payroll and deep pricebook customization, which push toward ServiceTitan instead.

FieldEdge

Combines dispatch with lead and prospect tracking rather than treating CRM as an afterthought, with prospect tracking specifically called out on its Premier and Elite tiers. Licenses are capped per tier (2, 4 or 6 mobile users) rather than sold individually. Not for: a shop that wants to compare a published price before committing time to a sales call.

When none of these is the answer

A one-truck HVAC operator doing their own scheduling from a phone doesn't need dispatch software yet. A shared calendar and a QuickBooks invoice covers that stage, and any of these tools add setup overhead that only pays off once there's a second technician on the road.

Disclosure: SalesCrew is our product. It has no dispatch, no route scheduling and no pricebook, so it isn't a fit for running HVAC field operations day to day. Where it could fit is the sales side sitting beside a trade tool: tracking commercial accounts, running outbound to property managers or general contractors, and keeping a pipeline for maintenance-contract renewals. Voice and SMS features that a call-heavy HVAC business would actually need are on the roadmap, not shipped, which is why it isn't ranked above.

Questions

Does an HVAC company need ServiceTitan, or is that overkill?
It depends on truck count. ServiceTitan is built for multi-truck operations that need dispatch, pricebook and payroll in one system, and its pricing reflects that: it is quote-only, not a self-serve monthly fee. A 1-3 truck HVAC company usually finds Housecall Pro or Jobber cheaper to start and just as functional for scheduling and invoicing.
Which of these tracks sales leads, not only service jobs?
Jobber's Grow and Plus tiers add a Pipeline feature for tracking sales opportunities and lead management, on top of the basic client manager included on every tier. Housecall Pro has a Pipeline Dashboard and an optional Pipeline add-on aimed at the same job. FieldEdge includes lead and prospect tracking from its Premier tier up. All three go further than pure dispatch-and-invoice software.
Is there a real price difference between these tools?
Yes. Jobber starts at $29/month for one user (Core, billed annually) and Housecall Pro starts at $59/month for one user (Basic, billed annually), both with published tiers. ServiceTitan and FieldEdge require a sales call before you see a number, which is common for tools built around multi-truck operations with variable add-ons.
Can an HVAC company run cold outbound or marketing campaigns from these tools?
Not really, and that's not what they're for. These are operations platforms built around jobs, dispatch and invoicing, with a thin layer of lead tracking on top. None of them are built for running a multi-step outbound sequence to new prospects the way a dedicated CRM is.
