An AI receptionist for real estate teams that books into a real CRM
For the portal lead that rings while you are inside a showing: which property, what timeline, financing status, and a showing on the calendar before they call the next agent.
- On the roadmap, not available today
- Will capture financing status
- Consent gate part of the design

Nothing in residential real estate decays as fast as a portal lead. A buyer who taps the call button on a listing is comparing agents for the next four minutes, not the next four days. This page describes an agent designed for that window. It does not exist yet, so treat it as a design to judge rather than a product to buy.
The call a real estate team actually loses
The structural problem is that your best agents are unreachable precisely when leads arrive. They are inside a house with a client, at an inspection, or driving between the two. The lead does not wait, and the portal has already shown that buyer three other agents on the same screen.
The second problem is that the call itself is rarely about the property they clicked. Buyers ring about one listing and describe a completely different set of requirements once someone asks. That is why the useful call captures a timeline and a financing position, not only an address.
Financing is the field that decides everything downstream. A buyer with a pre-approval letter and a buyer who has not spoken to a lender belong in different cadences with different follow-up lengths, and asking on the first call is the only cheap way to know.
The call flow it runs
Property, requirements, financing, showing. None of this ships today.
- 1
Identify the listing they are calling about
The address or the listing number they saw, so the record starts attached to a real property rather than to a general enquiry.
- 2
Ask what they actually want
Bedrooms, area, price band, and whether they have a house to sell first. That last answer turns one lead into two sides of a transaction.
- 3
Take the timeline
Buying this month, in six months, or watching the market. Timeline decides cadence length, and a long-timeline buyer put into a short cadence is a lead you burn.
- 4
Establish financing status
Pre-approved, spoken to a lender, cash, or not started. Captured as a value, and never advised on. Whether a buyer qualifies is not a question a script may touch.
- 5
Book the showing
Real slots from the assigned agent's calendar, or the round-robin pool if the listing agent is unavailable. A meeting record is written against the contact.
- 6
Escalate the buyer at the door
A caller standing outside a property right now is transferred immediately. That is a showing happening in the next ten minutes, and no booking flow is fast enough for it.
What it will do, and what stays with a person
Anything that is advice, negotiation or a legal disclosure sits with a licensed person.
| Situation | The planned agent | A person |
|---|---|---|
| "I am outside the property now, can someone let me in?" | None. Immediate transfer to the agent or the duty phone | Gets there or arranges access |
| Portal enquiry on a listing, buyer is browsing | Requirements, timeline, financing status, then books a showing | Runs the showing |
| "Do you think they will take less?" | None. Declines and transfers | The listing agent, because this is negotiation |
| Seller asking what their home is worth | Captures the address and books a valuation appointment | Prices the property |
| "Will I qualify for a mortgage?" | Records the financing status only and refers to a lender | A licensed lender, never the agent's guess |
| Questions about schools, crime or who lives in the area | None. Declines the topic and transfers | The agent, following fair housing rules |
| Existing client asking about their live transaction | Identifies the caller and routes to the agent handling it | The agent on the file |
Rows describe intended behaviour of a roadmap feature. Nothing here answers a call today.
Why a voice agent needs a CRM behind it
A receptionist that books into nothing is an answering machine with a calendar. In this business the cost of that is measured over a year and a half, because the average internet lead does not transact for months. A call that ends in a voice tool cannot be enrolled in a twelve-month cadence, and a lead nobody nurtures is a lead somebody else closes.
Round-robin is the other half. A captured call can be assigned to the next agent in the pool with an SLA timer on it. A voicemail sits in one person's phone and is invisible to the team lead who would otherwise notice it went untouched for a day.
That is why the pipeline, the long-tail cadences, the round-robin assignment and the approval queue are live now, and the voice half will feed them rather than sit beside them.
Settle this before it ships. Disclosure that a caller is speaking to an AI and permission to record a call both vary by jurisdiction, and real estate carries its own layer: licence disclosure requirements and fair housing rules about what may be said regarding a neighbourhood. Consumer mobile numbers also mean any follow-up text has consent obligations of its own. Take all of it to your own counsel. This is not legal advice.
What real estate teams ask about this
- Will it sound like a robot?
- The voice is rarely the giveaway on current platforms. Delay before the first word is, and buyers comparing three agents in one sitting notice it immediately. The design keeps the opening short and gets to the property question fast, because a caller who has already tapped two other listings will not sit through an introduction.
- What happens when it cannot answer something?
- It refuses and hands over. Its facts come from your knowledge base: your listings, your areas, your commission model if you publish it, your office hours. Negotiation, valuation opinions and anything about the character of a neighbourhood are outside that list on purpose. The last of those is a fair housing exposure, not only a service issue.
- Will it say it is an AI?
- Yes, and we would not recommend turning it off. Several jurisdictions are moving toward requiring disclosure, and real estate already carries licence disclosure requirements of its own. Confirm what applies to you with your own counsel. This is not legal advice.
- What will it cost per minute?
- No published figure. It depends on your voice provider, your model class and your call length, and a showing booking runs shorter than a first conversation with a seller. The components are a platform fee, the model, speech to text, text to speech and telephony, and our calculator page publishes the formula so you can price your own lead volume.
- Is it legal to record the calls?
- It depends where the parties are, and some jurisdictions need consent from everyone on the line rather than one party. A consent line at the start of the call is part of the design for that reason. Which rule applies to your market is a question for your own counsel. This is not legal advice.
- Can it transfer to me?
- Yes, and the most important trigger is a caller standing outside a property. That transfers immediately with no qualifying questions. So does any negotiation question, any valuation opinion and any request for a person. If the assigned agent does not pick up, the design falls back to the round-robin pool before it falls back to a message.
