Where should positive cold email replies go?

Into the pipeline, as a deal with the thread attached, with the cadence stopped and an owner named in the same step.

An admin approves every new account by hand. Nothing is created until then. We reply by email; no newsletter, no sequence.

The short answer

  • A positive cold email reply should land in the same database as your pipeline, as a contact and a deal with the full thread attached, so the rep who answers can see the whole history.
  • The reply should stop the cadence for that contact at once, so the prospect who just said yes never gets the next automated follow-up.
  • Routing a reply takes 4 steps: label it, stop the sequence, create the deal and name an owner; any step left to memory is where warm leads go cold.
  • SalesCrew runs cold outbound and the pipeline in one database: replies land in the unified inbox, cadences pause on reply, and a deal is created from a positive reply.

Keep the reply next to the deal, not in the sending tool

Many teams send cold email from one tool and track deals in another. The reply lands in the sending tool. Then someone has to copy it into the CRM, and that copy step is where replies get lost. A rep answers from the sender, the CRM still says "cold", and a week later nobody knows who owns the lead.

The fix is one place for both jobs. When the reply, the contact and the deal share a database, your rep answers from the record. Your pipeline report counts the lead the moment it warms up, and your manager can see who owns it without asking.

The 4 routing steps for a positive reply

What each step does, and what goes wrong when it is skipped.

StepWhat happensIf you skip it
1. Label the replyMark it positive, based on what the person asked forIt sits in a shared inbox with 40 auto-replies
2. Stop the cadenceNo more automated steps go to that contactThe prospect gets follow-up 3 after saying yes
3. Create the dealA deal at the first stage, with the thread attachedThe pipeline report misses the lead
4. Name an ownerOne person answers and owns the next stepTwo reps reply, or none do

Steps as SalesCrew runs them: replies classified by rules first, cadences paused on reply, deals created from positive replies, September 2026.

How SalesCrew routes a positive reply

SalesCrew connects your sending mailboxes over IMAP/SMTP, so replies from Gmail, Outlook or cPanel mail land in one unified inbox. On the first sync it backfills the last 90 days of threads. Rules classify each reply first, and an AI label fills in when no rule fits.

A reply pauses the cadence for that contact on its own. Creating a deal from a positive reply goes to review first, and it can run automatically once you trust it. Suppression on unsubscribe and bounce happens without asking. You'll find the full flow on the cold email to pipeline page, and the inbox page shows the screen your reps answer from.

A sequence that keeps sending after a yes

The most costly routing failure is a cadence that never stopped. Check that a reply stops every channel for that contact, including LinkedIn steps and any second mailbox, before you scale your sends.

Questions

Should I reply to interested leads from the sending tool or the CRM?
Reply from wherever the deal lives, so the conversation and the pipeline stay in one record. If your sending tool and CRM are separate, each reply sent from the sending tool is one more thread the CRM never sees. Pick one place, and make every rep answer from it.
How fast should a positive cold email reply get a response?
Within the same working day, and sooner when you can. A person who says yes to a cold email is weighing other things too. Set a reply-time target your team can track, and review the replies that went over it every week.
What counts as a positive reply?
A reply that asks for a call, a price, more detail or a better contact. A polite no, an out-of-office and an unsubscribe request are not positive, and each needs its own handling. Label replies by what the person asked for, not by tone.
Can an AI draft the answer to a positive reply?
Yes. SalesCrew's Draft with AI writes a reply into the inbox composer from the thread, and you edit it and press Send. The Inbox agent can also queue drafted replies for review every 15 minutes, so a person approves each outside send.
