The short answer
- CRM implementation cost = your team's hours × their loaded hourly cost + the vendor's onboarding fee + any consultant + first-year licences.
- HubSpot lists a one-time Sales Hub onboarding fee of $1,500 on Professional and $3,500 on Enterprise, checked September 2026.
- Training hours grow with every user, and so do per-seat licences. Those two lines decide how much a bigger team pays.

The formula behind the calculator
You can rebuild every number on a whiteboard. The calculator runs these steps in order:
- Hours = cleanup + configuration + integrations + (training hours per user × users).
- Team time = hours × loaded hourly cost.
- One-time cost = team time + onboarding fee + consultant.
- Year-one licences = users × monthly price per user × 12.
- First-year total = one-time cost + year-one licences.

Three worked examples
Ten users on HubSpot Professional. Hours are 20 + 16 + 8 + (2 × 10), so 64. At $50 an hour that's $3,200 of team time. Add the $1,500 fee and the one-time cost is $4,700. Licences add 10 × $100 × 12, or $12,000, for a first-year total of $16,700. On SalesCrew Core, the same hours plus $2,990 come to $6,190.
Twenty-five users, same setup. Training doubles and then some: 20 + 16 + 8 + 50 is 94 hours, or $4,700. One-time cost is $6,200, licences are $30,000, and year one is $36,200. On Core it's $4,700 + $2,990, or $7,690.
Five users with a consultant. Say 10 cleanup, 8 config, 4 integration and 2 training hours per user: 32 hours at $60, or $1,920. Add a $1,500 fee and a $2,000 consultant for $5,420 up front. At $100 a seat, licences are $6,000 and year one is $11,420. On Core it's $1,920 + $2,000 + $2,990, or $6,910.
