Your stack, line by line

Defaults are the September 2026 list prices named below the tool. Change any box and the totals update.

LineSeparate toolsWith SalesCrew Core
Domains (3), per month$2.44$2.44
Mailboxes (6)$42.00$42.00
Contact data$49.00$49.00
Sending tool$47.00$299 flat, unlimited seats
CRM (3 users)$75.00
Monthly total$215.44$392.44
Yearly total$2,585.31$4,709.31

Break-even: at 11 CRM users, the sending tool plus per-user CRM seats reach the flat $299 Core price. Every user past that adds $25.00 a month to the separate stack and $0 to Core.

The short answer

  • A cold email stack has five cost lines: sending domains, mailboxes, a sending tool, contact data and CRM seats.
  • At September 2026 list prices, three domains, six Google mailboxes, Instantly, one Apollo seat and three Salesforce Starter users cost $215.44 a month.
  • Mailboxes are the line that scales with volume. CRM seats are the line that scales with headcount.
  • SalesCrew Core replaces the sending tool and the CRM with one $299 monthly price and unlimited seats, so hiring never changes that line.

How the calculator adds it up

You get one monthly figure for each line, then a sum. Here is every formula, so you can check it on paper:

  • Mailboxes = domains × mailboxes per domain.
  • Domain cost per month = domains × yearly domain price ÷ 12.
  • Mailbox cost = mailboxes × monthly mailbox price.
  • Data cost = data seats × monthly seat price.
  • CRM cost = CRM users × monthly user price.
  • Separate stack = domains + mailboxes + sending tool + data + CRM.
  • With SalesCrew Core = domains + mailboxes + data + $299.
  • Break-even users = ($299 − sending tool) ÷ CRM price per user, rounded up.

Yearly totals are the monthly totals × 12. Taxes and annual-billing discounts are left out, so enter the price you actually pay if it differs.

Three worked examples

A small program with three users. Three domains cost $2.44 a month. Six mailboxes cost $42. Add $47 for Instantly, $49 for one Apollo seat and $75 for three Salesforce users. Your separate stack is $215.44 a month. The same setup on SalesCrew Core is $2.44 + $42 + $49 + $299, or $392.44.

The same program with 12 users. Only the CRM line moves: 12 × $25 is $300. Your separate stack rises to $440.44 a month, while the Core column stays at $392.44. Break-even here is 11 users, because ($299 − $47) ÷ $25 is 10.08.

A bigger sending setup. Take ten domains with three mailboxes each, so 30 mailboxes. Domains cost $8.14 a month and mailboxes $210. With the other defaults and three users, the separate stack comes to $389.14. With Core it's $566.14, and every hire after that adds nothing to Core.

Cut the line that grows with your team

Mailbox count follows your sending volume, and you should size it to your daily caps. CRM seats follow headcount instead. With SalesCrew, every person who works replies, deals or the data bank gets a seat at no extra cost.

Questions

What is the total cost of running cold email?
Add five lines: domains, mailboxes, a sending tool, contact data and a CRM. With three domains, six Google mailboxes, Instantly, one Apollo seat and three Salesforce Starter users, the September 2026 list prices come to $215.44 a month.
Why are domains shown as a monthly cost?
Domains are billed yearly, so the calculator divides the yearly price by 12. Three .com domains at $9.77 a year cost $29.31 a year, or $2.44 a month.
Does SalesCrew replace the mailboxes too?
You keep your own mailboxes, and SalesCrew Core sends cadences through your own mailbox pool with per-mailbox and per-domain daily caps. That's why the domain and mailbox lines stay the same in both columns.
Which cost grows fastest as the team grows?
CRM seats. A per-user CRM adds its seat price for every person who works replies. SalesCrew Core is $299 a month with unlimited seats, so a tenth user costs the same as the first.

Put the sender and the CRM on one bill

SalesCrew Core runs cadences on your own mailboxes beside the inbox, data bank and pipeline for $299 a month, unlimited seats.
