Whisper messageA whisper message is a short audio announcement played only to the person answering a forwarded call — "lead from the website, HVAC repair" — before the caller is connected. It tells the answerer what they are picking up.

Also known as: whisper announcement

Why it matters

When a call is forwarded or transferred, the person answering usually has no idea what it is until they pick up. A whisper message closes that gap: a brief, spoken note plays only to the answerer, not the caller, right before the call connects, saying something like "lead from the website, HVAC repair" or "existing customer, billing question." It is what makes a warm transfer actually feel warm on the receiving end.

The value is entirely in speed. A whisper message works because it takes a couple of seconds to deliver the one or two facts that change how the answerer opens the call, source, topic, urgency, without making the caller sit through dead air while it plays. If it takes any longer than that, it stops being a whisper and starts being a delay the caller notices.

How a whisper message plays

  1. 1

A call is forwarded or transferred

The system routes the call toward a person, not yet connected to the caller.

  2. 2

    The answerer picks up

Their line rings and they answer, still separate from the caller's side.

  3. 3

The whisper plays to them only

A short recorded or synthesised note gives the key facts: source, topic, urgency.

  4. 4

    The caller is connected

The two sides join once the whisper finishes, typically within a couple of seconds.

The mistake to watch for

Making it long. Two seconds; the caller is listening to ringing.

Questions

What is the difference between a whisper message and caller ID?
Caller ID shows a name or number on a screen before anyone answers, and only if the number is recognised. A whisper message is spoken audio, heard only after picking up, and can carry context caller ID never could, like the reason for the call or where the lead came from.
Who hears a whisper message?
Only the person answering the forwarded or transferred call. The caller does not hear it; from their side, the call simply appears to connect after a brief pause.
How long should a whisper message be?
As short as possible, typically just a couple of seconds covering the one or two facts that matter most, like the source of the lead and the topic. Longer than that and the caller notices the delay before the call connects.
