What is a warm transfer?
Handing a call to a person after briefing them first, so the caller never has to explain themselves twice.

Warm transfer — A warm transfer hands a call from an agent to a person after the agent has briefed the person — who is calling, why, what was said — so the caller does not repeat themselves. A cold transfer connects without the briefing.
Why it matters
The difference between a warm and a cold transfer is entirely about what happens right before the caller is connected. In a cold transfer, the call simply rings through to the next person, who picks up knowing nothing: who is calling, why, or what was already said. The caller then has to repeat the whole reason for their call, which reads as the business not talking to itself.
A warm transfer inserts a briefing step first. Whoever is receiving the call, a person or, on an AI voice agent, a whisper message, hears a short summary of who's calling and why before the caller is actually connected. For a voice agent handing off to a human, this is the difference between a handoff that feels coordinated and one that feels like starting over. It matters even more when the call is a live opportunity: a warm transfer to someone unprepared to close is a worse outcome than no transfer at all.
How a warm transfer happens
- 1
The call is put on hold
The caller waits briefly while the transfer is set up.
- 2
The receiving person is briefed
A summary, who's calling, why, what's been discussed, reaches them before the caller does.
- 3
The caller is connected
The call joins the receiving person, who already has the context.
- 4
The conversation continues
The caller does not need to re-explain why they called.

Questions
- What is the difference between a warm transfer and a cold transfer?
- A warm transfer briefs the receiving person on who's calling and why before connecting the caller, so nothing has to be repeated. A cold transfer simply connects the call without that briefing, leaving the receiving person and the caller both starting from zero.
- Can an AI voice agent do a warm transfer?
- Yes, typically by playing a whisper message, a short spoken summary, to the person receiving the transfer before the caller is connected. This gives a human receiving a handoff from an AI agent the same context a warm transfer between two people would provide.
- Why does a warm transfer sometimes fail anyway?
- Most commonly because the destination isn't actually staffed or monitored. If the transfer lands in a ring group or line nobody is watching, the caller ends up in voicemail regardless of how good the briefing was, which is a lost call with extra steps rather than a saved one.
