What does each email status mean, and how do I send to valid emails only?

Each email gets checked once. The check gives a result, and we keep the date it ran. To mail only safe rows, open Data Bank, click Email and pick Valid only (safest). Save that as a segment and launch your campaign from it.

What you will need

  • Contacts in the Data Bank of SalesCrew.
  • Access to the Data Bank area. Here is what each result means, and if a campaign sends to it. Result What it means Sent to? --- --- --- Valid The mailbox is real. Safe to send. Yes Catch-all The domain takes any address. We can't tell if the person is there. Yes Role inbox A shared inbox, like info@ or sales@. Yes Invalid Rejected, no mail server, a throwaway domain, or it bounced hard. Never Not checked yet It has an email, but no one has checked it. Not until it is checked Checked at is the date of the check. A check can come from our verifier or from the file you imported.

    Open Data Bank in SalesCrew.

    Click the Email chip in the filter row.

    Pick a quick choice at the top. Valid only (safest) keeps just the confirmed mailboxes. Sendable keeps valid, catch-all and role rows that were checked. That is the exact rule every campaign sends by.

    Or tick the results you want, one by one. Ticks add up: two ticks show rows with either result.

    Under Checked, pick Within 90 days for fresh checks only. Pick Over 90 days ago to find rows to check again.

    Click Save as Segment and launch your campaign from that segment.

    On a contact page, the badge next to the name shows the result. Hover it to see what it means and when it was checked.

Common errors

Older saved options shows a line
a segment saved before this filter had an older email rule. It still applies. Click the x to drop it.
Checked can't be changed
an older option is using the same setting. Remove it first.
A campaign skipped some rows
those rows were invalid or not checked yet. A campaign never sends to them, whatever the filter says.

How you know it worked

After you pick Valid only (safest), the chip reads Email: Valid only. Every row in the table shows Valid in the Email status column.

Where this goes in SalesCrew

The Data Bank header count drops to the valid rows, and the Email chip reads Email - Valid only. In your own workspace the same how-to opens beside the field, with your callback URLs filled in.
