How do I freeze a segment and keep suppressed contacts out?
Filter the Data Bank, save the result as a segment, then launch a campaign from it: launch freezes the audience and removes anyone on the suppression list. SalesCrew checks suppression again at send time, so a late unsubscribe is skipped.
What you will need
- Contacts in the Data Bank. A CSV import or a data source fills it.
- Access to the Data Bank and Outreach areas in SalesCrew.
Steps
- 1
Step 1
In SalesCrew, open Data Bank and filter the contacts you want. Use the filters for the columns you need.
- 2
Step 2
Click Save as Segment. Name it, and set Cap per company if you want only one or two people from each firm.
- 3
Step 3
Open the Segments tab. Your segment shows four counts. Total is everyone who matches. Suppressed is anyone on the do-not-contact list. Cooldown is anyone a campaign touched in the last 30 days.
- 4
Step 4
Read Eligible. That's total minus suppressed minus cooldown: the people a campaign reaches today.
- 5
Step 5
To block someone by hand, open Outreach → Suppression and click Add to suppression. Use Single email for one address or Bulk paste for a list. Pick a Reason and a Channel.
- 6
Step 6
Unsubscribes, hard bounces and complaints join the list on their own. You don't add those.
- 7
Step 7
Launch a campaign from the segment. Launch freezes the audience, so later changes to the filter don't touch it.
- 8
Step 8
New contacts that match later? Click the refresh icon on the segment to add them before your next launch.
Common errors
- Eligible is much lower than Total
- many matches are suppressed or in cooldown. Open Suppression and filter by reason to see why.
- Someone was removed from suppression but still isn't mailed
- they're in cooldown from a recent campaign. Wait out the 30 days.
- A new contact isn't in a running campaign
- the audience froze at launch. Refresh the segment and launch a new campaign for them.
How you know it worked
The segment's Eligible count matches what you expect. On the campaign page, the frozen audience equals that number. The Suppression tab lists every blocked address with its reason and source.
Where this goes in SalesCrew
Data Bank → Segments → your segment shows Total, Suppressed, Cooldown and Eligible counts. In your own workspace the same how-to opens beside the field, with your callback URLs filled in.
