We also checked whether either vendor caps active leads or monthly send volume beside the mailbox count. A tool that includes unlimited mailboxes but caps total sends can still force an upgrade sooner than the mailbox math alone suggests. Active-lead and send-volume ceilings are the only thing that pushes an upgrade. Best for: a team scaling a large pool, or one that already owns its mailboxes and needs only the rotation and sending logic. Not for: a team that wants the mailboxes themselves bundled and set up by the vendor.

2. Instantly

Sells rotation logic and hosted mailboxes together if you want them. That is convenient for a team that does not want to source, configure and warm mailboxes elsewhere. The roughly $8-per-mailbox monthly fee adds up as a pool grows past a handful of addresses. Best for: a team that wants a single vendor for both the tool and the inboxes, with warmup bundled in. When none of these is the answer

If total send volume is low enough for one or two mailboxes, under roughly 50 to 100 emails a day, rotation adds complexity without a real deliverability benefit. A single well-warmed mailbox on its own domain handles that volume fine. Rotation earns its place once volume outgrows what one address can safely carry.

A two-person founder-led team sending 40 personalized emails a week to a hand-picked list is the clearest example. Adding a rotation tool and a pool of secondary mailboxes here solves a problem that does not exist yet. The setup time is better spent writing better emails from the one mailbox already in use. The math changes once a team is sending hundreds of emails a day across a growing target list. At that point spreading volume across mailboxes stops being optional. It becomes the only way to keep any of them out of a spam folder.

Divide your target daily send volume by the safe per-mailbox limit, typically a few dozen to a couple hundred sends a day. Then add a buffer for mailboxes still warming up. A team sending 500 emails a day at 50 per mailbox needs roughly 10 to 15 mailboxes in rotation. Round up rather than down. A pool that is short a few mailboxes when one gets flagged loses coverage exactly when it matters most.
Does rotation replace warmup?
No. Rotation spreads volume across mailboxes. Warmup builds each mailbox's sending reputation before it carries real volume. A newly rotated-in mailbox that skipped warmup can still hurt deliverability even though it is technically part of a pool. Treat the two as steps in order. Warm a mailbox first, then add it to rotation once it has a normal-looking sending history.
