How do I export everything from HubSpot?
Records come out as CSV in one pass. Activity history needs a report or the Engagements API, and each download link lasts 30 days.

Activity history is the part people lose
Your contacts, companies and deals are the easy part. Export them from any object view as CSV, XLSX or XLS, and HubSpot emails you the file. The trouble starts with the timeline on each record: the calls your reps logged, the meetings they booked and the notes they left.
None of that sits in the standard record export, per knowledge.hubspot.com in September 2026. You pull it separately. Build an activity report in the custom report builder and export it, or have a developer read it through HubSpot's Engagements API. Keep the record ID column in every file, since it's the only link between an activity and the contact it belongs to.

Check the file limits before you trust the export
HubSpot splits big files. An XLS export splits past 65,535 rows and caps out at 256 columns, per HubSpot's export guide in September 2026. CSV and XLSX split past 1,000,000 rows, and XLSX stops at 16,384 columns. A CSV zips itself above 2MB, and it's the safest choice for a full account export.
Associations need a second look. By default each association column holds up to 1,000 linked record IDs. A company with more contacts than that loses links unless you switch the CSV export to include every associated record. Exporting all contacts also includes your unsubscribes, so keep that file: it becomes your suppression list in the next system.
